For every adult, there comes a time when it is necessary for you to write a two weeks notice letter. There are various reasons why this may be necessary, perhaps you have been offered a better position with better pay somewhere else, maybe you are moving to a different area or maybe you have a conflict at work that makes it impossible for you to continue in that environment. Writing a two weeks notice letter does not have to be a negative experience. Still, most people find the task of writing such a later quite challenging. What should you say? How should you say it and in what exact order?
The most important thing about writing a two weeks notice letter is ensuring that your letter says what you want it to say in a clear and concise manner. No matter how diplomatic you want to be, it is important to get to the point of why you are writing the letter. Also, you will need to find the right words to say what you want to say and you will want to place your statements in an easy, logical order and you must still clearly state any facts and important agreements in the letter that you write them.
Overall Tone
The overall tone of your letter will depend on your relationship to the person you are writing to. A letter to a stranger in the Human Resources department of a large corporation will be different than one to a boss with whom you have worked side by side on a daily basis for several years.
Having said that, even if you are on friendly terms with your boss, always place your two week’s notice in a formal letter. This shows respect and can help you to avoid unforeseen complications or embarrassment. At the end of the day, your employment position is a formal agreement and should be treated as such no matter how casual the working environment and the relationships there.
In most cases, your two weeks notice letter should be quick and formal. It should begin with an introductory sentence or paragraph. A single line is sufficient for your introductory text and it should basically give the reader of the letter context as to why you are writing to them. The main body of your two weeks notice letter should state any important or relevant start and end dates.
Be Nice
Many people feel confusion as to what they should include in their letter and what things should be left out. In response to this, you should remember that your resignation letter will be placed in your employment file and will be there for the company to review should you ever attempt to be re-hired or seek a reference from them.
Therefore, I recommend that you state clearly the positives that you experienced working with the company and refrain from listing grievances or grudges that you may feel. Rather, discuss the negative if you must verbally with your boss or during your exit interview
Your closing paragraph of your two week resignation letter should reiterate any actions that need to take place between you and the company, including the return of company property and the delivery of your final paycheck.
